This policy explains what information TableHelm collects, why we collect it, and the choices you have. We keep it plain because privacy should not need a lawyer to understand. If anything is unclear, email us at hello@tablehelm.com.
Who we are
TableHelm ("we", "us") provides reservation and table management software for restaurants at tablehelm.com. This policy covers our website, free tools, each restaurant's public booking page, the reservation manage pages, and the TableHelm application. Two kinds of people appear in it: restaurants (our customers) and diners (their guests).
Our core commitment on guest data
The guest book a restaurant builds in the product (its diners' names, contact details, visit history, preferences and notes) belongs to that restaurant. We store and process it only to provide the service.
We never sell it, rent it, share it with other restaurants, or use it to market to diners. There is no diner network here: a guest who books at one restaurant is that restaurant's guest, not ours.
Restaurants can export their full guest book and reservation history to CSV, free, at any time, on every plan.
Information we collect
Restaurant account information: name, email address and the details you add about your restaurant (tables, service periods, policies, branding).
Guest information entered by diners or the restaurant: name, email, phone, party size, dates and times, special requests, occasions, and notes the restaurant keeps (such as dietary needs or seating preferences).
Payment information: subscription billing and no-show card holds are handled by Stripe. Card details go directly to Stripe; we never see or store full card numbers.
Usage information: basic, privacy-respecting analytics about how the site and app are used, so we can fix problems and improve the product.
Diners: what happens when you book a table
When you book through a restaurant's booking page, your details go to that restaurant so it can seat you. You get a confirmation email with a private manage link for viewing or cancelling the reservation.
If the restaurant uses no-show protection, the booking page tells you before you confirm: a card hold at a stated fee, processed by Stripe on the restaurant's own Stripe account. The restaurant may charge that fee if you do not show; the charge is theirs, not ours.
We do not build diner profiles across restaurants, and we do not send diners marketing.
Our free tools
Calculators and generators on our website run in your browser. What you type into them is not stored by us unless the tool clearly says otherwise (for example, a shareable link that encodes your inputs in the URL).
How we use information
To provide and run the service: storing reservations, sending confirmation and reminder emails on the restaurant's behalf, and processing payments.
To contact restaurants about their account, important changes and support requests.
To improve the product and keep it secure. We do not sell personal information to anyone.
Who we share it with
Only the service providers needed to run the product: hosting, database, email delivery and payments (Stripe), and only so they can perform those services for us.
We may disclose information if required by law, or to protect the rights, safety or property of our users or others.
Data retention
We keep account data while the account is active. If a restaurant closes its account, we delete its data (including its guest book) within a reasonable period, except where records must be kept for legal or accounting reasons. Export before you close; the export is free.
Your rights
Restaurants can access, correct, export or delete their data from within the account or by emailing hello@tablehelm.com. Diners can ask the restaurant that holds their reservation, or email us and we will help route the request. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA, and we will honour valid requests.
Security
We use industry-standard measures to protect data, including encryption in transit. Card details are handled entirely by Stripe. No system is perfectly secure, but we take reasonable steps to keep information safe.
Changes to this policy
We may update this policy from time to time. If we make material changes, we will let you know. The "last updated" date above always reflects the current version.
